Data and sample request

Cantabria Cohort is a population-based, longitudinal, and prospective study consisting of 50,000 residents of Cantabria aged between 40 and 70 years.

The data and samples from the cohort are available to IDIVAL and external researchers, from both public and private institutions, whether for-profit or non-profit, always complying with ethical-legal, social, and scientific requirements. Before submitting a request, we invite you to browse through some general statistics obtained from our data.

ACCESS REQUIREMENTS

IDIVAL has control over access to and use of samples and data according to its own procedures.

Taking into account the limited quantities of some types of samples (serum and plasma) and the value of the associated data, the transfer of these samples must be authorised by the Cantabria Cohort Steering Committee and by the External Ethics and Scientific Committees.

Access will be defined in the terms and conditions established and accepted by the participants of the Cantabria Cohort, in compliance with the consent given.

The projects must be framed within the scientific objectives of the Cantabria Cohort project and the strategic lines of IDIVAL.

The transfer of samples and/or data will entail specific fees and the return of research results, which may vary depending on the project and the type of applicant.

In no case will identifiable data or contact information of the participating individuals be shared without their explicit consent for a specific purpose. Samples and data will be delivered pseudonymized, and specific security measures will be adopted to prevent re-identification and unauthorized access by third parties.

REQUEST PROCEDURE (RESEARCHERS)

  1. Firstly, the researcher will send a query to solicitudescohorte@idival.org with the inclusion criteria to select the sample for their study. In the case of including a specific diagnosis, Cantabria Cohort will cross-reference information from their questionnaire with the records in the Electronic Health Record to determine the number of available cases.
  2. Complete the request for samples/data and send it to the email account solicitudescohorte@idival.orgApplications must be accompanied by the following documentation:
    • Project for which the samples/data are requested
    • Proof of project funding or funding plan
    • Certificate of approval of the project by an Ethics Committee
  3. The Steering Committee shall first assess the fulfilment of the requirements and the relevance of the release in terms of prioritisation of the use of the sample.
  4. The External Committees (EC) will assess the scientific, legal-ethical and social aspects of the application.
  5. Once the transfer has been approved by both ECs, a sample and/or data transfer agreement (MTA-DTA) will be signed between IDIVAL and the requesting institution. This agreement will establish the economic costs and the return to the Cantabria Cohort of the data generated in the project.
  6. In order to enrich the information gathered in the study, the researcher must return the results to Cantabria Cohort in a timely manner as established in the transfer agreement.
